Academic Calendar
The Woodrow Wilson School follows the University academic calendars and the holiday schedules. The Woodrow Wilson School also maintains a Graduate Program calendar.

Audio-Visual equipment can be reserved for class-related use through the WWS Media Services Office:

Blackboard
Blackboard is a system that provides a powerful and easy-to-use tool suite for instructors to build and manage virtual classrooms. Faculty members and students use Blackboard frequently. You should become familiar with this system since you will most likely be responsible for maintaining information on it. If you have further questions, you can email the Blackboard Office or call them at 8-0737 for any questions or to ask for access to the courses your faculty members are teaching.

Business Cards
Personalized business cards may be ordered by full time Princeton University faculty and administrators at Printing and Mailing. Centers can purchase them for their visitors.

Catering
All requests for catering or food service must be directed to the WWS Catering web site. Restrictions apply.
Conferences
The School provides administrative support for WWS faculty or school-sponsored conferences held in Robertson Hall and Wallace Hall. Please contact the Facilities Office to discuss conference needs. Please book these events as early as possible. The School does not provide staff support for conferences held outside of Robertson Hall or Wallace Hall.
The Facilities Office does not handle the following: developing the program, contacting participants, issuing invitations, tracking RSVPs, making travel arrangements, producing name tags, arranging transportation, or on-site staffing the day of the event. These responsibilities should be handled by the conference organizer such as the WWS Public Affairs Office or the WWS Center or Program affliate.
It is often helpful to hire students to handle the special needs that a conference may generate. This is particularly true if staff assistance is needed during the evening or on weekends. The WWS Facilities Office does not provide logistical support for non-WWS activities.

Course Offerings Proof
Course Packets and Copyright
Course Packets are prepared by the Facilities Office, you will need to hand them the originals at least two weeks before classes begin.
Electronic reserves at the Stokes Library
Course readings can be placed on electronic reserve. Students can read or print out the materials (for their own use) from the electronic reserve site charged. There is a direct link to the electronic reserve site on Blackboard but you can also go through the library's web site.
Readings for electronic reserve must be given to the librarian at least two weeks before classes begin. If the professor is unable to meet this deadline they should contact their librarian to make other arrangement.
Contact Stokes Library at 8-5455 to find out who has been assigned to assist you and the faculty member with the electronic reservation. When supplying copies to the library, you will need to hand clear one-sided copies of all the course materials that include the copyright page and cover title page. Copies of articles should include the date, title, and name of the magazine or newspaper. A librarian will scan all the documents and link it to the electronic reserve site on Blackboard and on the library's web site. The librarian will provide you and your professor with a user ID name and password, which the professor should give to all his/her students.

Dining Points
Paw Points
You have the ability to put "Paw Points" on your Princeton University ID card with your credit or debit card. 1 point is 1 dollar. You can use paw points for any Princeton University dining facility on campus (e.g. Shultz, Frist, Prospect House).

Expenses/Reimbursements
Allowable Expenses
There are specific rules governing transportation to and from campus, guest speakers, meals for students and other reimbursable expenses. It is essential that you review those expense policies located on the Princeton University Treasure's Office web site as you cannot get reimbursed for expenses inconsistent with these rules.
More WWS detailed policies and instructions on expenses are listed on the Financial Management web site. Since departments work with budgets and have numerous different accounts for expenses and reimbursements, it is imperative that you make sure you receive pre-approval to use account numbers for reimbursements, (express) mailings, large copy work, supply orders, etc. The Assistant Director of Administrative Services will inform the faculty members of their basic teaching reimbursements.
Expense account numbers will vary depending on what and for whom it is being used. You must contact the appropriate department to make sure that you are using the correct numbers and follow its policies. You may need to use several account numbers for one professor. For example, you will need 4 different account numbers for a faculty member requesting photo duplication for a graduate course, undergraduate course, individual research, and a center.
Vouchers
Those assisting faculty and/or administrators will need to fill out a voucher to pay a vendor or reimburse a visiting faculty member or a guest speaker for travel expenses. Please make sure that all reimbursements fall under WWS policy as described on the Financial Management web site. The departments must strictly follow those policies and are not allowed to make any exceptions, so if you have any doubts, please contact the appropriate office.
The University Finance System updates their reimbursement forms (vouchers) and standard reimbursement amounts (e.g. mileage reimbursements) on a regular basis.
When a faculty member invites a guest speaker, the faculty assistant should contact the guest speaker before they arrive at the school. Let them know that they will need to submit all original receipts in order to be reimbursed. This includes the airfare/train fare stubs regardless of whether the traveler or the school paid for them. Many guest speakers misplace or throw out their receipts simply because they were not aware that they needed to turn them in to you.
If original receipts do get lost and they cannot be reproduced by the company, the faculty member will need to fill out and sign the "No Original Form" A copy should be kept for your own files. Any vouchers for course related expenses, such as lunch with preceptors, should go to the graduate or undergraduate office.
An original signature is required on all vouchers from the faculty members and guest speakers. If you know they won't be around after they have given you the receipts:
- Have the professor/guest speaker sign the voucher that has been completed as much as possible, and fax the completed voucher to the professor/guest speaker for their records.
- Fax the completed voucher and a copy of the receipts to the professor/guest speaker and have him/her return just the voucher with original signature by mail.
Hotels can be booked and taxis can be reserved for guest speakers and be bills directly to the appropriate office. However, visiting faculty members need to pay the bills up front and are reimbursed by the university.
Visiting professor/lecturers travel expenses
Visiting professors who come from out of town can be reimbursed for their travel expenses by requesting the necessary paperwork/procedures from the Assistant Director of Administrative Services, Linda Taylor at ltaylor@princeotn.edu. Faculty should provide their faculty assistant with all of their original travel related receipts on a bi-weekly basis. Bank and credit card statements are not acceptable; however, road toll statements, such as EZ-Pass, are. Hotel rooms and taxis for visiting faculty cannot be directly billed to the University; the professor will need to pay up front.
Instructions for Completing Vouchers
The WWS Financial Management Office has detailed instructions for complteting vouchers and holds training sessions for accounts payable forms.
Voucher Approval
Once you have completed a voucher, you should send the original voucher, receipts, and a copy to the appropriate office for approval:

After a voucher has been approved by the appropriate department and the WWS Finance Department, it is sent to the University Controller's office for processing. Once the Controller receives the paperwork, reimbursement checks may take anywhere from 10-15 business days to complete (sometimes longer). Therefore, it is imperative that you process reimbursements and invoices as soon as possible to avoid unnecessary delays.

Libraries
Donald E. Stokes Library
(Public and International Affairs & Population Research)
Not only does the Stokes Library offer electronic reserve and houses a core collection of books, journals, and research materials that supplement the materials in the Social Sciences collection at Firestone but, it also:
- Supports delivery of books and journal articles to the faculty of the Woodrow Wilson School and the Office of Population Research.
- Provides help with your research needs and offers instructions in the use of library materials.
- Offers electronic memberships to e.g. The New York Times (user ID is "tigers" password is "tigers").
- Buys back books from faculty used for class reference or research since the graduate and undergraduate departments do not reimburse faculty for any course materials, except for the course packet.
- Offers "article express", a feature you may sign up for as well, as long as you fill out "faculty" as your status.
Please get to know the friendly staff of the Stokes Library since they will be of great help one day.
Firestone Library
For any WWS course related issues you should go through the Stokes Library. For any other courses you will need to contact Firestone Library.
Lost and Found
Lost and found items are handled by the Facilities Office. Items are held for a short period of time and then sent to the Public Safety Office in Stanhope Hall.

Mailboxes/Faxing/Telephones
Campus Mail Service
Campus mail is delivered to and picked up from Robertson Hall once a day Monday through Friday.
Mail may be sent to the Princeton University Press through campus mail. Use U.S. mail to send material to the Princeton Alumni Weekly at 194 Nassau Street.
Express Mail Service
Express mail services make daily pick-ups from the Facilities Office.

Outgoing Mail
Mail properly chargeable to WWS should be placed in the Facilities Office.
Personal Mail
Personal mail cannot be charged to the School and may not be sent using the School postage meter. However, pre-stamped personal mail may be placed in the special box on the floor of the Robertson Hall mail alcove (4th floor) where it will be picked up by the U.S. mail carrier.
Postage
Postage is not supplied or sold within the WWS. Materials related to school business should be left in the appropriate labeled area of the Facilities Office for metering and mailing. Materials related to funded research should be charged to the appropriate research account.

Maintenance and Repairs
All requests requiring the services of janitors, carpenters, electricians, etc. should be placed with the Facilities Office. Included are such items as defective lights, furniture to be moved, malfunctioning locks and doors, and inadequate heating or air conditioning.

Notary Service
Marianne Goldfarb in the Dean's office is a Notary Public. Please contact her if you need to have a document notarized to schedule an appointment. Documents can only be notarized for WWS faculty, staff and students only.

OIT Documentation
Besides that the OIT department offers university sponsored training opportunities, OIT has also developed documentation to support administrative systems for e.g. Time Collection and Microsoft Office applications (Word, Access, Excel, Outlook, etc.).

Parking
You will need to visit the Tigercard office to obtain a parking permit. You will need to bring your University ID card and you will need to know the license plate number, model, make, and year of the vehicles you will be registering. All WWS faculty and staff are assigned parking space on campus. You can walk to your building from lots3 and 21 or take the Blue route Shuttle. The shuttle stop is next to the Robertson Hall on Washington Road.

Profile
Through Human Resources Self Service you can review and update your personal information but you will not be able to change certain settings, such as adding a degree. In these cases you will need to fill out the Personal Data and Identification Form and send the original to Human Resources, 1 New South and a copy to the Assistant Director of Administrative Services.

Shultz Café
The Shultz café is located on the main level of Robertson Hall. Regular business hours are from Monday through Friday 7:00 AM - 2:00 PM and from 2:00 PM - 4:00 PM for beverages and cold food items only.
Student in Difficulty Form
You can access the “Student in Difficulty” web site at https://odocweb.princeton.edu/sid/index.php. (Please bookmark this site for your convenience.) Click on the name of any student enrolled in your course about whom you have concerns, and complete an electronic progress report, which will then be automatically routed to the dean who is responsible for that student. The site allows instructors of large classes to file a single report (Group SID) for multiple students in the same course.
